Edit, Complete, Reassign, or Delete a To-Do

If you have permissions to view to-dos, you can access a to-do's details by clicking a row in the To-Dos Grid (see To-Dos Grid Page ) or under the To-Dos sub-tab of a case's Activity tab see (A Case's Page).

To-Do's Page Features

The following section will review all details on a to-do's page, as illustrated in the screenshot below.

  1. Case number: the identification number of the to-do's case.
  2. To-do number: the number generated for the to-do to identify it for the case. For example, if you added another to-do for this case, it would be 2023-013/2.
  3. Status: a flag indicating the status of the task described in the to-do's details. The to-do in the screenshot has not been completed so it is in “pending” status. When it is completed, it will be in “closed” status, marked by a green flag. 
  4. Mark as Complete button: click the Mark as Complete button to close the to-do. See more details in the Complete a To-Do section of this article.
  5. Edit button: click the Edit button to change the to-do's details. See more in the Edit a To-Do section of this article.
  6. Page menu: access additional to-do actions, including the “Re-assign” and "View Record Source" options (see details in the Reassign a To-Do and View Record Source sections of this article respectively). 
  7. Delete button: click to delete the to-do. See more details in the Delete a To-Do section of this article.
  8. To-do details: the information gathered in the New To-Do form (see Add a To-Do).
  9. System-generated fields: data collected by the system when the to-do is submitted. These fields cannot be updated. 

Reassign a To-Do

You can update a to-do's "Responsible" field to reassign the task to another user, as long as the to-do is in “Pending” status and you have the appropriate permissions. You can reassign a to-do from its page using the following steps:

  1. Click the page menu on a to-do's page.
  2. Click the “Re-assign” option in the page menu.
  3. In the "Re-assign To-Do" pop-up, type another user’s name in the “Responsible” field.
  4. Click Save to reassign the to-do.

You can also reassign a to-do when you are editing a to-do or viewing it from the home or calendar page (see Case IQ Home View and Calendar Page respectively).

Complete a To-Do

You can close a to-do in Case IQ to indicate you have completed the task if you have the appropriate permissions. On the to-do's page, click the Mark as Complete button to update its status to “Closed”. The “Date Completed” and “Closed By” fields will appear on the to-do details, showing when the to-do was closed and the user who closed it respectively.

Reopen a to-do?

You cannot re-open a to-do or set it back to "Pending" after marking it as complete. After completing a to-do, you will not be able to edit it.

Edit a To-Do

You can edit the details of a to-do from its page. Use the following steps to make updates:

  1. Click the Edit button on a to-do's page. 
  2. The to-do's page will now be in edit mode. Use the text boxes, picklists, radio buttons, and other data input options to update the information in the to-do form fields. 
  3. When you have completed your changes, click the Save button.

Delete

Uneditable To-Do Fields

You cannot edit the "Case #", "Created By", "Assigned By", and "Created Date" fields after the New To-Do form is initially submitted.

Delete a To-Do

If you need to permanently remove a to-do, you can delete it from the to-do's page. Click the Delete button at the top right of the page.

When you delete a to-do, you will not be able to recover the to-do or the data later.

View Record Source

You can use the "View Record Source" option to monitor or troubleshoot your application’s data migrations or integrations. "View Record Source" will pull up the "Record source detail" pop-up, so you can check the system fields' values when the to-do was created. If the to-do was created by an integration or data import, you will also see the "Source Job" field and "Source Data" section in this pop-up. The "Source Data" section will show the row in the data import file that the system used to create the to-do. You can check out the integration log that the system recorded when it processed that data import file by clicking the link in the "Source Job" field.
