Link a Profile to a Case

While a profile is a standalone record type that does not need to be related to a case, you can choose to connect a profile to a case by adding a profile link if needed. You can add a profile link from two locations in the application: (1) the Related Profiles sub-tab on a Case page or (2) the Related Cases tab of a profile's page. 

Link from the Profile's Page

Use the following steps to link a profile to a case from a profile's page:

  1. Click the Related Cases tab on a profile's page. Then, click the Link Case button.  
  2. The Linked Case Search pop-up will be displayed, where you can enter search criteria to find an existing case record in the system to link to the profile. Use the “Search content…” search box to find specific text in any case field or set up criteria statements for certain case fields (see Searching in Case IQ: Create Search Criteria Statements for details).  
  3. Click a case record in the search results to link it to the profile. The case's number will be populated in the "Case #" field and you may type in an explanation for linking it to the profile in the “Reason for Link” text box. 
  4. To proceed with creating the manual link between the cases, click the Add Link button. If you need to return to the search results and choose a different case, click the Back button. 
  5. Once you have added the link, the linked case will be displayed on both the Related Cases tab of the profile's page and the Related Profiles sub-tab on the case's page.

Link from the Case's Page

Use the following steps to link a profile to a case from a case's page:

  1. On a case's page, click the Related Profiles sub-tab. Then, click the Link Profile button.
  2. The Linked Profile Search pop-up will be displayed, where you can enter search criteria to find an existing profile record in the system to link to the case. Use the “Search content…” search box to find specific text in any case field or set up criteria statements for certain case fields (see Searching in Case IQ: Create Search Criteria Statements for details). In this example, profiles where the “Country” fields contains “united” were pulled, to find profiles of people in the United States.
  3. Click a profile record in the search results to link it to the case. The profile’s first and last name will be populated in the "Name" field and you may type in an explanation for linking the profile in the “Reason for Link” text box. 
  4. To proceed with creating the link between the profile and case, click the Add Link button. If you need to return to the search results and choose a diffferent profile, click the Back button.
  5. Once you have added the link, the linked profile will be displayed on both the Related Profiles sub-tab of the case's page and the Related Cases tab on the profile's page. 

Edit a Profile and Case Link

After creating a link between a profile and case, you can later edit the "Reason" field from either a case's page or a profile's page. The steps and video clip below show how to edit a link starting from a profile's page, but you can follow the same steps from a case's page.

Delete

Profile and Case Uneditable

You cannot choose a different case or profile for the link after creating it. Delete the link and create a new link between the correct profile and case.

  1. On either the Related Profiles sub-tab of the case's page or the Related Cases tab of the profile's page, click the link record.
  2. In the Edit Link pop-up, update the text in the "Reason" field. 
  3. Click Save to finish updating the "Reason" text.

Delete a Profile and Case Link

You can delete a profile and case link from either of the linked record's pages. The steps and video clip below show how to delete a link starting from a profile's page, but you can follow the same steps from a case's page.

  1. On either the Related Profiles sub-tab of the case's page or the Related Cases tab of the profile's page, select the checkbox for the link's row in the grid.
  2. Click the Delete button that appears in the grid header.
  3. Click Confirm on the pop-up to proceed with deleting the profile and case link.
