View, Edit, Cancel, or Delete an Appointment
If you have permissions to view appointments, you can access an appointment's details by clicking a record in the general calendar or the case calendar (see Calendar Page) or via a case under the Appointments sub-tab of the Activity tab (see A Case's Page).
Appointment's Page Features
The following section will review all appointment details on an appointment's page, as illustrated in the screenshot below.
- Case number: the number of the case associated with the appointment.
- Appointment number: a number is generated to identify the appointment for the case. For example, if you added another appointment for this case, it would be 2024-002/2.
- Status: indicates if the latest version of the appointment invitation has been sent to the invitees or if the appointment has been cancelled. An appointment can have one of the following statuses:
- Sent: invitees have received the latest version of the appointment email invitation.
- Unsent Changes: the appointment invitation has been edited in Case IQ but it has not been sent to invitees yet. See more details in the "Edit an Appointment" section of this article.
- Cancelled: the appointment has been cancelled in Case IQ. See more details in the Cancel an Appointment section of this article.
- Edit button: click the Edit button to change the appointment details. See more details in the Edit an Appointment section of this article.
- Link button: click the Link button to see all linked records to the appointment. See more in the Link an Appointment section of this article.
- Cancel Appointment button: if the appointment is no longer going to occur, click to cancel the appointment in Case IQ. See more details in the Cancel an Appointment section of this article.
- Options button: access additional appointment actions, including the "Delete" option. See more details in the Delete an Appointment section of this article.
- Appointment details: the information gathered in the New Appointment form (see Add an Appointment).
You can edit, cancel, and delete appointments on the appointment's page, as shown in this article, and the Calendar page or a case's calendar (see Calendar Page: Appointment and To-Do Pop-up).
Edit an Appointment
You can edit the details of an appointment record from its page. If you have permission to edit appointment records, use the following steps to make updates:
- Click the Edit button on an appointment's page.
- The appointment's page will now be in edit mode. Use the text boxes, picklists, date and time fields, and other data input options to update the information in the appointment form fields.
- If you would like to save your changes without notifying the invitees yet, you can save a draft of the appointment. Click the Options () button, then select “Save Draft”.
- When you have completed your changes and want to notify the invitees of the appointment updates, click the Send button.
When you click Send, the appointment will be in "Sent" status, as it was prior to your changes. If you edit an appointment in Case IQ and do not send an updated invitation email, the appointment status will be updated to “Unsent Changes”.
Link an Appointment
You can link an appointment with another record, such as a party, note, or file, for the same case to show a connection. For example, you could link an appointment to one of the case's to-dos to show that the event is related to an investigation task. You can link an appointment to another record from its page using the following steps:
- Click the Link () button on the appointment's page.
- In the "View all linked records" pop-up, click the Link Records button.
- Select a "Record link type" for the link. The link type indicates how the records are related to each other.
- Administrators can configure the available record link types in Settings, see Add, Edit, and Delete Record Link Types for details.
- In the grid, you will see all the case's records to which you have access. Select one or more records to which you want to link to the appointment. You can link up to 50 records with the appointment at once.
- When you have finished choosing the record link type and records, click the Link Records button.
- The system will create the links in the background. When they have been created, the links you added will be displayed on the appointment's page, the other record's page, and the case's page under the Links tab.

Cancel an Appointment
If an appointment will no longer occur, you can cancel the appointment in Case IQ. To cancel an appointment, click the Cancel button at the top of the appointment's page. The appointment status flag will be updated to “Cancelled”.
Delete an Appointment
If you need to permanently remove an appointment, you can delete it from the appointment's page directly. Click the Options () button, then select "Delete".
