Add, Edit, or Delete a File Tag
You can create and manage file tags in your application on the Tags page in Settings. Investigators can tag files to categorize the different types of evidence, documents, and reports uploaded to their cases, making it easier to find and sort them. Investigators can also create tags for the application when adding and editing files if they have permissions.

While you can create any tags to align with your organization’s case management process, here are several common tags we have seen used in applications.

You can review all tags in your application on the Tags page under the Data tab in Settings.

Add a Tag
To add tags to your application:
1. On the Tags page, click the Create Tags button.

2. In the "Create Tags" pop-up, you will see an "Add" text box. Type the name you want to give your new tag in this text box, then hit Enter on your keyboard. You can enter more tag names to create multiple tags at once.

3. When you are done entering tag names, click the Create Tags button. Your new tags will now be available in your application.

Edit a Tag's Name
You can update a tag's name from the Tags page:
1. On the Tags page, click the “…” (ellipses) button for the tag you want to edit. Then, click the "Edit Name" option.

2. Type in a new name for the tag in the "Edit Tag Name" pop-up. Click Update Tag Name to save your changes. Investigators will now see the new name for the tag in the application.

Delete a Tag
You can permanently remove tags from your application. If the tag has been used for a file, you can select an existing tag to use in its place.
To delete a single tag:
1. On the Tags page, click the “…” (ellipses) button for the tag you want to delete. Then, click the "Delete & Replace" option.

2. The "Delete Tags" pop-up will indicate if the tag has been used for any files. If the tag is in use, you have the option to select another tag with which to replace it.
- To replace the tag, search for and select one of your application's tags in the "Replace With" column. Then, click the Delete and Replace Tags button.
- To delete the tag without replacing it, click the Delete and Replace Tags button.
The system will delete the tag from your application and add the new tag if you chose to replace it.

To delete multiple tags:
1. On the Tags page, select the checkbox beside each tag you want to delete.

2. Click the Delete & Replace button in the grid header.

3. The "Delete Tags" pop-up will indicate if the tag has been used for any files. If the tag is in use, you have the option to select another tag with which to replace it.
- To replace the tag, search for and select one of your application's tags in the "Replace With" column. Then, click the Delete and Replace Tags button.
- To delete the tag without replacing it, click the Delete and Replace Tags button.
The system will delete the tags from your application and add the new tags if you chose to replace them.

Merge Tags
You can merge multiple tags together to consolidate your application's tags. This is especially helpful if your application has multiple similar tags or if a tag name is misspelled. In this section, we demonstrate how to merge tags in our sample application by merging "Transcript" and "Phone call" tags into an "Interview" tag.
To merge tags together:
1. On the Tags page, select the checkbox beside the tag names you want to replace. Do not select the tag name that the final merged tag should have yet. In our example, we want to use the "Interview" tag name instead of "Transcript" and "Phone call", so we only selected "Transcript" and "Phone call" in this step.
2. Click the Merge button in the grid header.

3. In the "Merge Tags" pop-up, search for and select the tag with which to replace the previous tags. In our example, we selected "Interview" in this step, so users see the "Interview" tag instead of "Transcript" or "Phone call".

4. Click Merge and Replace. The system will look for all files with the tags you selected and replace them with the merged tag name.
