How can we help?

Configure Your Application's Internal Portal

In Case IQ, a portal is a reporting platform connected to your Case IQ application that allows people to submit incidents to your organization without accessing your main application. When someone adds a case via a portal, investigators can manage the case in Case IQ just like cases added via the main application (see Add a Case In Application) or email (see Add a Case via Email).

You can configure two separate Case IQ portals for different kinds of reporters:

  • An external portal for contractors, vendors, customers, and other third parties collaborating with your organization.
  • An internal portal that your employees can access with Single Sign On (SSO).

System administrators can customize each portal separately. For example, your external portal could provide detailed guidance to help the public report incidents, while your internal portal could briefly introduce your company's compliance programs. This article covers how to manage your internal portal's settings on the Internal Portal Configuration page, located in Settings > System > Portal. To learn how to configure your external portal, see Configure Your Application's External Portal.

What's the difference between an internal and external portal?

Both types of portals have the same reporting functionality and interfaces. However, each portal was designed for a different audience. Since an internal portal is intended for your employees, reporters must log in to your internal portal with Single Sign On (SSO) before they can submit a case. On the other hand, an external portal is meant to be as broadly available as possible, so anyone can access and submit cases with an external portal.

External Portal Internal Portal
Anyone can access and submit cases with the link to your external portal landing page.
Reporters must log in to your internal portal with your organization's SSO before they can submit a case.

External portals can be one- or two-way, meaning your organization can use your external portal's online form to both receive case information from reporters and provide updates to them.

  • A one-way external portal only allows reporters to submit cases. They cannot receive updates on their case via Case IQ.
  • A two-way external portal allows reporters to set up an account for your external portal, so they can log back into the external portal and see updates on their case.
Internal portals are always two-way. Reporters will be able to log in with SSO, so they do not need to set up an account to receive updates on cases they submitted online.
Reporters must enter their name if they choose to identify themselves when submitting a case online. They can choose to remain anonymous if the external portal is configured to allow anonymous reporting.
Reporters do not need to enter their name if they choose to identify themselves when submitting a case online. The system will auto-populate their first and last name when they submit a case. They can choose to remain anonymous if the internal portal is configured to allow anonymous reporting.
Reporters must agree to the Terms and Conditions when reporting online.
The Terms and Conditions pop-up will not be displayed when reporting online.

Activate Internal Portal for Application

You will not see the settings described in this article if your application was not deployed with an internal portal. Please submit a change request to your Customer Support team to activate an internal portal for your application.

Activate or Deactivate your Internal Portal

Delete

Before activating your internal portal...

Make sure to configure Single Sign On for your internal portal so your employees will be able to access it. See Set up Single Sign On (SSO) for Your Internal Portal for instructions.

You can activate your internal portal to make it available to reporters or deactivate it to prevent anyone from accessing it. To activate or deactivate your internal portal, click the "Activate Portal" toggle on the Internal Portal Configuration page. Then, click Activate Internal Portal or Deactivate Internal Portal on the pop-up.

Activate Portal toggle in Portal Access section.

When your internal portal is active, your internal portal's landing page will be available to your employees via SSO, so they can access it and submit cases via any available reporting options. If you have not configured SSO for the internal portal, your internal portal will still be inaccessible.

If you deactivate your internal portal:

  • The link to your internal portal (e.g. https://[your company name].caseiq.app/internal-portal) will load a blank page that explains that the portal is not active, shown in the screenshot below. If you would like to customize the text on this page, see the Change Inactive Portal Default Text section of this article.
  • Reporters will no longer be able to access your internal portal or submit cases.
  • Reporters will receive an email letting them know that they cannot access or receive updates on their case anymore. You can customize the notification sent to reporters, see the Change Inactive Portal Default Text section for details.
  • In the main version of your application, a banner will be displayed on cases originally submitted via the internal portal, informing investigators that the reporter no longer has access to the case.

Configure Forms and Fields to Show on Online Form

You can configure the information that reporters provide about their concerns by choosing the fields available on the form. You can add fields from the case, party, and file forms, as well as any custom forms in your application to your internal portal's online intake form.

The internal intake form, hotline intake form, internal portal intake form, and external portal intake form are separate, so you can select different fields to appear on each form. In the example below, the "Department" case field appears on the internal intake and internal portal intake form but not the external portal intake form. However, fields from all intake forms will appear on the form's page after intake, unless you apply display rules to only show the field under specific circumstances (see Use the Form Builder: Set Up a Display Rule).

Hide Static Party Fields on Portal

You can control the information collected about people on your organization's external and internal portals in your application's settings. This means you can:

  • Ensure investigators only receive information relevant to their work.
  • Hide personally identifiable information (PII) from reporters.
  • Use the party form to capture companies or organizations, rather than specific people.

You can remove or hide any fields your organization has added to the party form using the Form Builder, see Edit a Standard Record Type for full instructions. However, you can hide Case IQ's standard, out-of-the-box fields, called "static fields", from the application's Options page.

To hide static party fields for reporters:

1. Navigate to Settings > System > System > Options.

Options page in Settings.

2. Narrow down the options displayed in the grid by clicking the Search button and typing “party form”. If your organization has an internal portal in addition to an external portal, you will see separate options for each portals.

  • To hide fields on the external portal: find the "partyFormStaticFieldsHideAfterSubmission" and "partyFormStaticFieldsHideOnIntake" options in the grid.
  • To hide fields on the internal portal: find the "internalpartyFormStaticFieldsHideAfterSubmission" and "internalpartyFormStaticFieldsHideOnIntake" options in the grid.

You can also delete multiple sets of dialing instructions from the Dialing Instructions grid. Select the checkbox for each row you would like to delete, then click the Delete button above the grid.

Allow External Access to Records

After a reporter submits a case via the internal portal, your investigators will pick up the case and document their findings by updating and adding records to the case, like notes, parties, and files. Investigators can share those records with the case's reporter if they have "Set Reporter Access" permissions. To grant this permission to a user role:

1. Navigate to Settings > Access > User Roles. Select a user role in the User Roles grid.

2. Click the Edit button.

3. Open the "Edit" permissions for files, notes, or parties. Then, click the "Set Reporter Access" permission. There are separate “Set Reporter Access” permissions for files, notes, and parties so you can choose the specific record types the role can share with reporters.

4. Click the Save button.

5. All users with this role will now see the “Allow Reporter Access” checkbox on an external case's parties, files, and notes forms.

4. The system will automatically save your changes when you click outside the “Translation” text box. The text you entered will now be displayed on the inactive internal portal page.

FAQ

What is the difference between a one-way and a two-way external portal?

Your organization can use your external portal's online form to both receive case information from reporters and provide updates to them.

  • A one-way external portal only allows reporters to submit cases. They cannot receive updates on their case via Case IQ.
  • A two-way external portal allows reporters to set up an account for your external portal, so they can log back into the external portal and see updates on their case.

What happens when you deactivate a portal or switch it to one-way?

If you deactivate your portal:

  • Reporters will no longer be able to access your portal or submit cases.
  • The link to your portal will load a blank page that explains that the portal is not active, shown in the screenshot below. You can customize the text on this page, see instructions for the external portal and internal portal.

If you switch your external portal from two- to one-way:

  • Any reporters who set up an account with an email address will receive an email letting them know that they cannot access or receive updates on their case anymore. You can customize the notification sent to reporters, see the Change Inactive Portal Default Text section for details.
  • In the main version of your application, a banner will be displayed on external cases (i.e. cases originally submitted via a portal), informing internal users that the reporter no longer has access to the case.

Reporters must agree to the Terms and Conditions when reporting online.
The Terms and Conditions pop-up will not be displayed when reporting online.

Can I deactivate the online form on the external or internal portal?

You cannot remove the online reporting option from your external or internal portal. If your organization is no longer accepting online reports, you can deactivate your external or internal portal.

Do I need to manage external or internal portal user accounts?

System administrators do not need to manage external accounts, as Case IQ automatically handles external account management. External accounts:

  • Do not appear on the User Profiles page, nor will they be visible anywhere in the application. If the reporter chose to identify themselves, their information will appear in the “Reporter” party created for the case.
  • Do not count towards an application’s user account limits.
  • Will be automatically deactivated after a set number of days of inactivity (by default 90 days). If an external portal reporter made their account using an email address, they will be notified in advance of their account’s deactivation.

How can I ensure external reporters provide their contact information? Our organization is required to contact reporters

We recommend using the following settings for your external portal, which will ensure that reporters provide their email address when they submit a case via the external portal intake form.

  • Turn off the "Allow Anonymous Submissions" toggle.
  • Set the "Reporter Access to Submitted Cases" setting to "Two-Way".
  • Set the "Reporter Update Option" setting to "Is mandatory".

Fields in the Online Form section of the External Portal Configuration page.

Optional vs Mandatory Account Creation

By default, account creation is optional for two-way external portals, which means:

  • Reporters can submit cases with or without creating an account.
  • Reporters must use their email address if they choose to create an account. They will not be able to create a username.

If you set account creation as mandatory, reporters must provide their email address or create a username before they can submit a case via your external portal. If you want to make sure reporters provide an email address, make sure to turn off the "Allow Anonymous Submissions" toggle.

What do the portal settings on the Options and Translations pages do?

In addition to the External Portal Configuration and Internal Portal Configuration page, you can manage your portals' settings from the Options page (Settings > System > System > Options) and Translations page (Settings > Data > Translations). If you update settings on the External or Internal Portal Configuration pages, your changes will be synced to the Options and Translations pages and vice versa. All related settings in Options and Translations will be locked when your changes are pending on the External Portal Configuration or Internal Portal Configuration page to prevent overwrites. We recommend using the External and Internal Portal Configuration pages to manage your portal's settings for ease of use.
