How can we help?

Configure Automatic Conflict of Interest Detection

Case IQ can detect potential conflicts of interests and preemptively block an investigator from accessing a case in which they may be implicated. The system can look for matching information between a party added to a case and the users in your application. If it finds the same information in a party and user account, it can either flag the potential conflict for review or immediately prevent the user from accessing the case. Administrators can set the information that Case IQ checks and how the system handles user-party matches. To learn how investigators can review matches, see Review Potential Conflict of Interests.

To configure automatic user-party matching:

1. Navigate to Settings > System > System > Options.

Options grid in Settings under the System tab.

2. Narrow down the options displayed in the grid by clicking the Search button and typing “match”.

3. Find the "partyDenyMatchAction" setting. Select one of the following options to choose how the system handles matches between users and parties.

partyDenyMatchAction Options
Description
Auto-Deny The system will look for matches between users and parties. When it finds a match, the user will be blocked from accessing the case, unless they have “Denied Cases” permissions (see details in the Prevent Access Restriction from User-Party Matches section of this article). An investigator can dismiss the match from the case's page, which will allow the user to access the case (see Review Potential Conflict of Interests).
Review Required The system will look for matches between users and parties. When it finds a match, the user can still access the case if they have permissions to it. An investigator can choose to remove or keep the user’s access on the case's page (see Review Potential Conflict of Interests).
Disabled The system will not check for matches between users and parties. This is the default selection.

If you set "partyDenyMatchAction" to "Auto-Deny", we recommend granting "Denied Cases" permissions to at least one user role in your application. See details in the Prevent Access Restriction from User-Party Matches section of this article.

3. Next, choose the user and party information that the system will use to determine potential conflicts. Case IQ can review names and email addresses for matches.

If you want the system to review the:

  • First and last names for users and parties: set "partyDenyNameMatch" to "Yes".
  • Email addresses for users and parties: set "partyDenyEmailMatch" to "Yes".

Selecting Yes for partyDenyEmailMatch setting.

4. Click the Save button.

Clicking the Save button on the Options page.

5. Click "Confirm" on the "Change configuration options" pop-up. Your changes will take effect within 15 minutes.

Set Up Potential Match Notifications

You can configure a notification rule to alert investigators that the system has found a potential conflict of interest. To set up potential match notifications:

1. Navigate to Settings > Workflow > Rules.

2. Click the "Record Review Needed" rule.

Clicking Record Review Needed rule.

3. This rule has been pre-configured for your application. You can make adjustments to the rule's or even add more actions to it, see Edit, Deactivate, or Delete a Rule for instructions. To activate the rule with its current settings, click the Options () button on the rule's page, then select "Activate Rule".

Options button on the Rule's page.

4. Click Activate on the "Activate rule" pop-up. The "Record Review Needed" rule will now be triggered when the rule's criteria are met.

Prevent Access Restriction from User-Party Matches

You can ensure certain users retain their access to cases, even if a party is added with their name or email address. This allows privileged users, such as Super Users or administrators, to continue to access cases.

To make sure a user can access cases, you can adjust their user role:

1. Navigate to Settings > Access > User Roles. Then, select a user role.

Clicking a user role on the User Roles page in Settings.

2. Click the Edit button on the User Role's page.

Clicking the Edit button on a user role page.

3. Open the Cases section and find the Access permissions. Click the "Denied Cases" checkbox.

Clicking the Denied Cases checkbox under the Access group in the Cases permissions.

4. Click the Save button on the User Role's page. All users with this role will now retain their access to cases, even if they are matched with one of its parties.

FAQ

How does Case IQ look for matches between users and parties?

The system looks for matching information between a user account and a party record. You can configure whether the system reviews their names, email addresses, or both.

The system will only consider user and party names to be a match if they have the exact same first and last name. However, it will ignore capitalization and accents. For example, the system would match the following user and party.

Field User Party
First Name Renaud renaud
Last Name Lefèvre lefevre

When you make changes to the "partyDenyMatchAction", "partyDenyNameMatch", or "partyDenyEmailMatch" settings, the system will use your current settings for matches found moving forward. The system will not reevaluate access for matches previously found.

Will Case IQ reevaluate a user's access?

The system will not reevaluate a user’s access to a case based on user-party matching, even if the user’s or party's information is changed.

What kinds of user accounts does Case IQ review for conflicts of interest?

The system will review all active and inactive user accounts in your application, except:

  • Users with the "Hotline Agent" user role.
  • Users that have already been denied access.
