Customize Playbooks for Clairia: Focused AI Assistants

Playbooks are customizable AI assistants for Clairia, each tailored to a specific investigative task or workflow. Instead of starting every conversation from scratch, a Playbook gives Clairia a fixed set of instructions, context, and knowledge so it consistently behaves exactly the way your team needs it to.

Think of a Playbook like a specialist on your team: one handles interview question drafting, another manages investigator assignments, a third produces executive-ready case summaries. Each one is pre-configured and always ready to use.

Why use Playbooks?

More accurate, more relevant AI outputs

General AI assistants work best with context — but providing that context manually in every conversation is time-consuming and easy to forget. Playbooks embed your context permanently. When you open a Playbook, Clairia already knows what task it's helping with, what standards and policies to apply, what tone and structure to use, and what reference materials to draw from. The result is more precise responses that are grounded in your organization's actual practices.

Consistency across your entire team

Without Playbooks, two investigators asking Clairia the same question might get meaningfully different answers depending on how each person phrased their prompt. Playbooks eliminate that variability. Because every team member accesses the same pre-configured assistant, Clairia behaves the same way regardless of who is using it. This is especially important for legally sensitive tasks like interview question generation, investigator assignment, or case summary drafting, where consistency and defensibility matter.

No more repeating yourself

With Playbooks, you write your setup instructions once and they are applied automatically every time. Your team can jump straight to the work — no preamble required. Instead of opening every session with "You are an HR investigator, follow our interview guidelines, use neutral language...", you simply open the right Playbook and Clairia is already configured exactly that way.

Create a Playbook

To create Playbooks in your application:

1. Open Clairia by clicking the Magic Wand () button on a case's or record's page.

2. Click the Menu () button in the Clairia sidebar. Then, select Playbooks.

3. Click the + New Playbook button.

4. Fill in the following fields.

  • Playbook Name: enter a short, descriptive label that clearly identifies the Playbook's purpose. This is what your teammates will see in the selector, so make it specific (e.g. "Investigation Interview Prep Assistant" rather than "Interview Helper").
  • Description: enter a one- to two-sentence summary of what the Playbook does and when to use it. This appears beneath the name in the Playbooks list to help users pick the right assistant.
  • Custom Instructions: this is the core of the Playbook. Write detailed guidance for how Clairia should behave: define its role, the process it should follow, the tone it should use, any rules it must follow, and files it should reference. Be specific. See examples of effective Playbook custom instructions in Example Playbooks.
    • For example: "You are an expert case assignment advisor for HR investigations. Analyze each case for complexity, subject matter, parties involved, and urgency level before recommending an investigator."
    • You can tag a file for reference by typing "@" in the custom instructions, which will display a list of all files enabled for AI that are attached to the case or in the application's library (see details on enabling files for AI in Grant Case IQ's AI Access to Files). You can attach up to 5 documents that Clairia should reference when responding, such as investigator assignment matrices, interview question frameworks, redaction standards, or relevant policy documents.Tagging a file in custom instructions.
  • Knowledge Base: the files you referenced in the custom instructions will appear here automatically. 
  • One-Click Prompts: enter a pre-written prompt to help users get started with the Playbook quickly without having to think about how to phrase their first message. One-click prompts will appear as clickable buttons.
    • Click + Add Another to add more one-click prompts. You can add up to 3 one-click prompts to a Playbook.

5. When you are done customizing your Playbook, click the Save button at the bottom of the Clairia sidebar. 

6. You can now try out your Playbook. See Start, Rename, or Delete a Chat with Clairia for full instructions.

Edit a Playbook

You can tweak a Playbook's instructions to adjust its outputs. If you edit a Playbook that someone else has already used, any chats moving forward will use the new configurations. Clairia will let those users know the Playbook has been updated when they review any previous chats with the Playbook.

1. Click the Menu () button in the Clairia sidebar. Then, select Playbooks.

2. Click Edit beside the playbook.

3. You can now edit the Playbook's name, instructions, knowledge base, and one-click prompts. 

4. When you have finished your changes, click the Save button.

Delete a Playbook

You can remove a Playbook from your application. Any previous chats with the deleted Playbook will be retained but you cannot use the Playbook moving forward.

1. Click the Menu () button in the Clairia sidebar. Then, select Playbooks.

3. In the "Delete Playbook?" pop-up, click Delete Playbook.
